1. Scope
This Privacy Policy explains how AI Mail Hub (“we,” “us,” or the “Service”) collects, uses, stores, and shares information when an authorized user connects a Google account or uses the Service.
2. Information we process
- Google account identity, including the connected email address.
- OAuth access and refresh tokens needed to maintain the connection. Tokens are encrypted at rest.
- Gmail message data, including message identifiers, sender and recipient information, subject, dates, labels returned with a message, attachments indicators, and message content.
- Replies that an authorized user composes and sends through the Service.
- Workspace records such as clients, cases, account mappings, search data, and AI-generated summaries or draft replies.
- Operational logs needed for security, reliability, and troubleshooting.
We do not ask for permission to delete Gmail messages or modify Gmail labels.
3. Google API permissions and purposes
We request Gmail read-only access to display, search, organize, and synchronize messages in the Service. We request Gmail send access only to send a message after an authorized user reviews the content and initiates the send action. Basic Google identity permissions are used to identify the connected account.
4. AI-assisted features
When an authorized user chooses an AI summary or draft feature, relevant message content may be sent to the AI service provider configured by the operator solely to generate the requested output. AI output is assistive and may be inaccurate. A human user must review and initiate every outgoing message. We do not use Gmail data to train a general-purpose AI model.
5. How we use information
- Provide inbox synchronization, organization, search, summaries, draft assistance, and sending.
- Authenticate users, secure accounts, prevent abuse, and diagnose failures.
- Maintain and improve the reliability and user experience of the Service.
- Comply with applicable law and enforce our Terms of Service.
We do not sell Google user data, use it for advertising, or allow humans to read it except with the user’s affirmative agreement for support, when necessary for security or legal compliance, or when the data has been aggregated and anonymized for internal operations.
6. Sharing
We share information only with service providers that process it on our behalf—such as hosting, database, logging, email API, and configured AI infrastructure—or when required by law. Providers receive only the information needed for their function and are required to protect it. We do not transfer Google user data to data brokers or advertising platforms.
7. Storage, security, and retention
We use access controls, encrypted OAuth token storage, HTTPS in transit, and restricted infrastructure access. No system is completely secure. We retain connected-account data while needed to provide the Service and until the account is disconnected or deletion is requested, subject to limited backup, legal, fraud-prevention, and security retention needs. We delete or anonymize data when it is no longer needed.
8. Your choices
You may disconnect an account within AI Mail Hub, revoke access through your Google Account connections, or request deletion using our Data Deletion Instructions. Revoking Google access stops future API access but does not by itself delete data already stored in AI Mail Hub.
9. Google API Services User Data Policy
AI Mail Hub’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
10. Children
The Service is intended for business users and is not directed to children under 13.
